Quick Start: Your First Merge

This is the shortest path through the app for a brand-new user — from nothing to your first completed merge.

Create a scenario

Go to the Scenarios tab, click New scenario, pick an object (Accounts, Contacts, Leads, or Cross-object), give it a name, and click Create.

Define match rules

The scenario wizard opens. On the Match rules step, click Add match rule and choose which field(s) must match for two records to count as duplicates — for example, Email = Exact, or Company = Fuzzy.

Add filters

Optional. On the Filters step, restrict the scan to a subset of records — for example, only records where Country equals "USA".

Set master rules

On the Master step, tell Data Cleanser which record should survive a merge — for example, the Oldest Record, or the record with the Most Opportunities.

Save and start the scan

Click Save scenario, then start the scenario. Confirm in the Start duplicate scan dialog — optionally tick "Email me when this scan completes".

Review duplicates

When groups appear, go to the Review tab (or click Review duplicates on the Home page). Pick a group, choose the master record and the field values to keep, and click Merge group.

Scans run in the background — you can keep working (or close the tab entirely) while Data Cleanser finds your duplicates. When the scan completes, groups appear in the Review queue automatically.

Merges are permanent without Pro + Rollback. The losing records are deleted and their child records reparent to the survivor — roll back only within the Recycle Bin window on that license. Always check the surviving-record preview before merging.

What the screens look like

The scenario you create appears as a row on the Scenarios page and the Home dashboard — with its object type, the number of duplicate groups identified, its status, and a start/stop action:

A saved scenario in each state — Active (Deactivate), Processing (disabled), and Inactive (Activate).

While a scan runs, the scenario shows a pulsing Processing status; finished and queued work use other tones:

What to expect while the scan runs
  • The Review queue shows "Processing — waiting for results…" and stays empty until the scan finishes.
  • Check the Home page "While you were away" panel for finished, failed, or stopped scans.
  • If you ticked Email me when this scan completes, the notification goes to your Salesforce user email.
  • Only one scenario can be active per object at a time.
